Fleet management
How transport companies reduce fleet fuel costs
The pump price is the one fuel cost a haulier cannot influence. Everything else — litres burned per kilometre, empty running, and fuel that disappears without a trace — is a management problem.

1. Accurate data before any measure
You cannot manage what you do not measure. The minimum dataset per vehicle is litres dispensed, distance, engine hours and route type. Kept consistently, a 15% gap between two identical trucks on the same route becomes obvious within a month.
- One fuel card per vehicle, not per driver.
- Reconcile dispensed litres against recorded litres.
- Review L/100 km per vehicle and per driver monthly.
2. Route planning and empty kilometres
Every empty kilometre is fuel burned without revenue. Load consolidation, return loads and realistic slot planning cut total fleet consumption even when per-vehicle consumption stays flat.
3. Idling control
An idling engine burns roughly 2–3 litres per hour and covers no distance. In fleets with long loading waits this easily reaches several percent of annual fuel spend.
- Target idle time below 8% of engine running hours.
- Use auxiliary heaters instead of running the engine during rest.
- Track the trend per driver, not just the fleet average.
4. Procurement and fuel quality
Quality differences between suppliers exist and appear in consumption figures. Contracted pricing, density checks and per-station records protect the fleet from silent losses.
5. Technology that lowers consumption itself
Organisational measures have a ceiling. Beyond it, the remaining margin is combustion efficiency. CFSS is fitted to vehicles and machinery and reduces liquid fuel consumption with a contracted minimum saving of 7%, with 8–12% most commonly measured in practice.
On a fleet of 50 tractor units covering 100,000 km a year at 30 L/100 km, an 8% saving is about 120,000 litres a year.
FAQ
Questions we are asked most
- What share of fleet operating cost is fuel?
- In long-haul road transport fuel is typically 30–40% of operating cost; in urban distribution the share is lower because labour weighs more.
- Is the saving measured per vehicle or across the fleet?
- Per vehicle, because a fleet average hides outliers. Results are then aggregated to fleet level.
- How long does before-and-after measurement take?
- We recommend at least 90 days in each phase to capture seasonal variation and different route types.
Want the numbers for your own fleet?
We measure consumption before and after installation on your own vehicles, under an agreed methodology, with a contracted minimum saving of 7% on liquid fuels.
